1. Scope and who this policy covers
This Privacy Policy explains how MyAppartments handles personal information relating to registered landlords, their staff, tenants and other contacts whose information is entered into the service. It applies to the website, landlord workspace, super-admin functions and configured communications or payment integrations.
For landlord account and subscription information, MyAppartments determines how the service processes that information. For tenant and property-management information entered by a landlord, the landlord decides why the information is collected and used. Tenants should normally direct requests about those records to their landlord first.
2. Information we collect
Account and subscription information
This may include names, email addresses, Tanzanian phone numbers, password hashes, email-verification status, business information, plan details, account status, staff permissions and acceptance of legal documents.
Property-management information
Landlords may enter property addresses, unit characteristics, photographs, tenant names and contacts, national identification references, emergency contacts, lease terms, payment history, deposits, expenses, maintenance records, inspections, utilities, documents, notes and supplier details.
Technical and security information
We may process IP addresses, browser and device information, login attempts, session identifiers, activity logs, delivery results, integration responses, timestamps and diagnostic information needed to protect and operate the service.
Payment and communication information
We record payment amounts, references, status and provider results. Mobile-money PINs and full payment-card credentials are handled by payment providers and are not stored by MyAppartments. Message logs may contain the recipient, channel, content and delivery result.
3. How information is used
Information is used to create and secure accounts; provide property-management features; calculate rent schedules and balances; create statements and reports; deliver email, SMS or WhatsApp communications; initiate and reconcile payments; administer trials and subscriptions; provide support; detect misuse; maintain audit trails; troubleshoot failures; and comply with lawful obligations.
We do not sell personal information. We do not use tenant records for unrelated advertising. Automated calculations help organize landlord records but do not make legal tenancy decisions on behalf of landlords.
4. Landlord responsibilities for tenant information
Landlords and their authorized staff must collect only information reasonably required for property management, keep it accurate, restrict staff access, use communications responsibly and avoid retaining information longer than necessary. They are responsible for providing tenants with appropriate notices and honoring applicable access, correction or objection rights.
Landlords should not upload unnecessary sensitive information. Identity documents, emergency contacts, financial records and maintenance photographs must be protected and accessed only for legitimate property-management purposes.
6. Retention and account closure
Account, subscription, audit and transaction information is retained while the service is provided and afterward where reasonably necessary for security, disputes, accounting or legal obligations. Landlord-entered records are generally retained while the landlord account remains active or as instructed through authorized service processes.
Some information may remain temporarily in secure system backups or logs until normal deletion cycles complete. Records required to demonstrate legal acceptance, security actions or financial transactions may be retained longer than ordinary workspace content.
7. Security measures
MyAppartments uses measures such as password hashing, HTTPS deployment, authenticated sessions, CSRF protection, permission controls, private credential storage, login throttling and activity logging. Access to super-admin functions is restricted by role.
No internet service is completely secure. Users must use strong unique passwords, protect their devices, avoid sharing credentials, review staff permissions and report suspected compromise promptly. API keys and email passwords must never be placed in the public website folder.
8. Access, correction and other choices
Subject to applicable law, rights may include being informed about processing, accessing personal data, correcting inaccurate data, requesting erasure or restriction, receiving portable data, objecting to certain processing, withdrawing consent where consent is the legal basis, and lodging a complaint with Tanzania’s Personal Data Protection Commission.
Registered users can review and update certain account information through Settings. Requests concerning landlord account information may be sent using the contact information below. We may need to verify identity before acting.
Tenants seeking access to or correction of a landlord’s tenancy records should contact that landlord. Where appropriate or legally required, MyAppartments will assist the landlord in responding. A request may be limited where retention is required for legal claims, security, fraud prevention or financial records.
10. Children
MyAppartments is intended for adult property owners and authorized property-management staff. It is not directed to children. Users should not intentionally enter information about a child unless it is necessary, lawful and appropriately protected in connection with a tenancy or household record.
11. Policy changes and contact
This policy may be updated when features, providers or legal requirements change. The effective date and version will be revised, and material changes may require renewed acknowledgement.
Privacy questions or requests may be sent to no-reply@myhotels.co.tz. Include enough information to identify the relevant account, but do not send passwords, mobile-money PINs, full payment-card information or unnecessary identity documents.
